Job Title: Office Manager Location: Tampa, FL Reports To: Firm Partners Job Overview: We are seeking a highly organized and proactive **Office Manager** to oversee the day-to-day operations of our architecture firm. This role is essential in ensuring the smooth functioning of our office, fostering a positive workplace culture, and supporting the firm’s operational, HR, and administrative needs. The ideal candidate will be a detail-oriented problem solver with strong interpersonal skills and a passion for creating an efficient and collaborative environment. Key Responsibilities: Human Resources Administration: - Serve as the primary point of contact for HR-related matters in coordination with our HR platform (e.g., Rippling, BambooHR, Others). - Manage the hiring and termination processes, including job postings, interviews, and exit procedures. - Coordinate with the health insurance broker for employee benefits administration and renewals. - Oversee professional insurance coordination and compliance. - Facilitate onboarding for new hires and ensure a seamless transition into the team. - Promote and maintain a positive workplace culture through team activities and employee engagement initiatives. Office Administration: - Maintain and order office supplies to ensure the office is well-stocked and operational. - Coordinate office-wide communication, ensuring timely and clear updates from leadership. - Ensure employees submit timesheets on time and liaise with accounting for payroll accuracy. Proposal and Legal Coordination: - Coordinate proposal reviews by professional insurance providers and legal counsel to ensure compliance and risk management. Event and Marketing Coordination: - Collaborate with the internal marketing team to plan and execute company branding initiatives. - Organize company events, including team-building activities, holiday parties, and other gatherings. IT and Emergency Preparedness: - Coordinate IT inventory with IT Consultant and ensure all hardware and software are accounted for and functional. - Oversee the firm’s emergency preparedness plans and ensure safety protocols are in place and up-to date. Qualifications: - Proven experience in office management, HR, or a related administrative role. - Familiarity with HR platforms such as Rippling or BambooHR is a plus. - Experience in Architecture/construction industry is a plus. - Strong organizational and multitasking abilities. - Excellent verbal and written communication skills. - Proficiency in Microsoft Office Suite. - A proactive attitude with the ability to anticipate and address needs before they arise. - Experience in architecture, engineering, or design industries is an advantage but not required.
